DIRECTOR OF ADMINISTRATOR
POSITION DESCRIPTION

THE CHURCH
Christ Church St. Peter’s Parish is an active and growing Episcopal church located in Easton, Maryland. An important presence in the community since its founding in 1692, the church has experienced significant expansion in membership in recent years and today has average weekly worship attendance of about 310. The staff of the church has grown accordingly and now includes the Rector, a Deacon who serves as a Minister of Discipleship, two interim Ministers of Music, the Minister of Youth and Families, and a Parish Secretary, as well as a part-time Director of the Day School (and teachers), a part-time professional bookkeeper, a part-time facilities maintenance man, and many volunteer roles filled by parishioners. The church offers a full and vibrant worship schedule, diverse Christian education programs, and a wide range of pastoral care and outreach ministries to the membership, the community, and beyond. The goal of the church is to continue to reach into the community with a living Gospel of Christ and to bring others to the knowledge and love of him. For more information about the church, please go to www.christchurcheaston.org
 
THE POSITION

Title
The Director of Administration

Reporting Relationships
Working closely with and reporting directly to the Rector, the Director of Administration will also work cooperatively with other clergy, staff, and volunteers in assuring the smooth functioning of the parish in all its varied aspects.
Responsibilities
The Director of Administration will oversee the administrative and business functions as a business manager, communication manager, and financial manager of the church in an accurate, efficient, thorough, and timely manner. The Director of Administration will be expected to take on full responsibility for these administrative functions but also, with a high degree of professionalism, to organize and update them as necessary to strengthen the church and give it the appropriate organizational foundation and support essential for the pursuit of its mission, ministry, and growth. The position is a full time opportunity to grow a contemporary and relevant church and to do a lot of good in the world. The right candidate will see this as an exciting work and ministry and will find the challenge of the job worthwhile.
The responsibilities will fall broadly into the following categories:
Management
  • Direct oversight of the day to day business and management responsibilities of the church.
  • Direct oversight of the Parish Secretary, who will carry out much of the day-to-day implementation of many of the Director of Administration’s responsibilities and projects in addition to serving as the secretary to the Rector.
  • Direct oversight of the Parish Bookkeeper.
  • Support, as appropriate, of the director and work of the Day School.
  • Procurement of office supplies and other supplies as the need arises in the course of business.
  • Train and schedule office volunteers.
  • Think “customer service.”

    Administration
  • Organization, writing, updating, and maintenance of the Policies, Practices, and Procedures Manual and the Parish By-laws.
  • Organization and maintenance of all personnel records.
  • Maintenance of the parish calendars for staff and programs, and for building use.
  • Management of all manual and computerized information systems.
  • Database management, including Membership, Stewardship, Pledges and Collections, Outreach Ministries, Programs, and Volunteers.
  • Preparation and maintenance of required official records resulting from services such as weddings and funerals and meetings such as Vestry meetings and the Parish Annual Meeting.
  • As a participating but non-voting attendee, the Director of Administration will attend Vestry, Finance, Endowment, Buildings and Grounds, Communications Committee, Endowment, and Stewardship meetings.

    Property
  • Determination, coordination, and record-keeping of the maintenance, management, and repair of the buildings and the grounds.
  • Oversight of the work of the part-time maintenance man.
  • Oversight of all grounds and facilities with regard to their upkeep, order, cleanliness, and maintenance. While this is generally expected to be a delegated matter, at times it requires a hands-on resolution.
  • Manages building use schedule and arranges meeting and event set-ups.
  • Financial, Insurance, and Legal
  • Facilitates the annual budget preparation by gathering information from all sources, including committees, ministries, the Endowment Board, the Finance Committee, and the staff.
  • Coordinates and facilitates all aspects of financial management, including working with the Finance, Stewardship, and Endowment Committees.
  • Monitoring of monthly budget expenditures and compliance reports and the finance reports.
  • Verification of church and staff expenses and reimbursements related to credit cards.
  • Oversight and management of all service and lease contracts, including copiers, telephones, software, computer (server/hardware), HVAC, insect control, and others, including regular service and price comparisons and verification that services are provided as contracted.
  • Expense and payments control, coordination of major purchases, and assurance that internal control procedures are appropriate, current, and being followed.
  • Assistance in the pursuit of grants that assist the growth of the church’s mission.
  • Keeping current on accounting, financial, stewardship, fund-raising, and tax developments that impact the Church.
  • Maintain an inventory of Church property for insurance purposes.
Communications/Evangelism
  • Promotion of effective communications in the parish community (including on-site publications and bulletin boards, bulletin inserts, signs, newcomer mailings, flyers, and informational booklets).
  • Oversight of all mailing lists, and all mass mailings, including email.
  • Writing (when necessary), editing, preparation, and oversight for all parish publications, including the Service orders (Bulletin), which contain the detailed order of worship for all Sundays, special services, and Holy days; the monthly Newsletter; and the web site.
  • Assistance to the program and ministry staff in the promotion of events and worship services in the parish and in the broader Talbot County community.
  • Develop and implement a system of parish advertising for the purposes of evangelism.
  • Management of all advertising, news articles, etc. to the general public.
  • Maintenance of the phone messaging system and coordination of the website.
THE PERSON

Education/Certification
College degree – Bachelors degree preferred.

Experience
The candidate for the position must have had several years of experience in a comparable administrative position in a business, government, charitable, or religious organization. Formal training in accounting and control would be helpful but is not required as long as there has been substantial on-the-job experience in the function. Familiarity with the use of computerized information systems is essential. A career background working in a relatively complex and fast-paced environment going through rapid growth and change would be a distinct advantage.
 
Personal
The candidate must possess excellent organizational aptitude and the ability to plan, prioritize, and manage multiple tasks. He/She must also have outstanding oral and written communications skills.
Reliability, strong detail orientation, and dedication to quality work are essential attributes. An outgoing and positive personality, a good sense of humor, and the ability to handle stress would serve the candidate well in this multifaceted position. The candidate should also be able to demonstrate a proactive approach to finding solutions and the desire to “exceed expectations.”

DIRECTOR FOR THE CHRIST CHURCH DAY SCHOOL
(Part-Time)
POSITION DESCRIPTION
 
The Christ Church Day School is a very well regarded preschool program in Easton, Maryland, and a ministry of the Vestry of Christ Church.  Consequently, the position of the Day School Director, while part-time, is one with great responsibility for the welfare and nurture of children and the concurrent reputation and quality of the School. The Director, as well as the teachers and aids, are employees of the Church and are under the authority of the Rector and Vestry. He or she is therefore also a representative of the parish to parents, staff, and in the general community.
 
The successful candidate will have excellent communication skills, a background in early childhood education, a love of children, positive energy, and a vision for the future. Entrepreneurial experience would be helpful. A high degree of professionalism is expected.
 
The student body of the Day School is currently comprised of approximately 44 children from ages from two years to five years old. Established in 1957, the School has undergone a number of important changes in the last few years under the leadership of several strong directors. It is currently in a process of looking forward for the sake of further development, improvement, and expansion.
 
This position anticipates it will take approximately 25 hours a week, with less time during the months from June through August. A background check will be undertaken prior to employment. The following list of duties is illustrative and not exhaustive.
 
Duties of Director
 
Administration
·   Daily operations of the School
·   Maintains State, Health Dept, Fire Marshall Codes and laws as well as Episcopal Church requirements
·   Manages registration of Students

·   Oversees tuition collection
·   Financial record keeping
·   Creates school calendar
·   Organizes and coordinates Day School events
·   Creates and updates Handbooks and School Notices
·   Reviews newsletter prior to printing
·   Writes school recommendations letters
·   Annually consults with local schools about the performance of entering CCDS students
·   Purchases supplies, snacks, and school equipment
·   Organizes periodic fire drills
·   Give tours, replies to inquiries and is a local representative for the school
·   Maintains CCDS computer and office equipment
·   Coordinates building and grounds improvements and repairs
·   The Director is responsible for implementing the Afternoon Enrichment program.

·   Recruiting, training, management, guidance, support and evaluation of teachers and aids.

·   Recommends to the Rector action on the employment of staff persons
